1The idea, in one minute

A normal CRM is a list. OmniCRM is a map.

Every organization is a logo or a small white box. Every person is a photo or a coloured dot with their name beside it. The lines between them are real relationships — works for, knows, influences, partner of — so you can see who could introduce you to whom.

A deal is not a node on that map. A deal is a Projop — a Project Opportunity — and a Projop is a saved arrangement of the map, plus the commercial detail attached to it. Open a Projop and the canvas becomes that deal's world: the right companies and people, positioned where you put them, everyone else out of the way.

That is the single idea the whole app is built on. Everything below is detail.

Five destinations, and the switcher at the top left moves you between them. Home is where you land — the company-wide overview: what's due, what's been written, what's hot. Today is your own personal view — what needs your attention right now; it's deliberately a different screen from Home, not a filtered copy of it. Opportunities is every deal — Pipeline (cards by stage) by default, with Archive (the ones marked no longer relevant) one tab away inside the same screen. Network is the relationship map and its analysis tools. Database is housekeeping — your main lists as sortable tables for tidying up in bulk. Only one destination is ever on screen; the one you're looking at is the raised segment.

Actions — every open follow-up across every Projop, filterable by Projop, manager and urgency — isn't one of the five destinations; it's reached via the View all actions link on Today, with its own link back. Everything else in the top bar acts on what's in front of you rather than taking you somewhere. New creates records and Data holds import, backup and the settings screens — both always available. Canvas tools (Connect, Arrange, Filter, Groups, Zones) and Analyze (Find path, Dashboard, Matrix) only act on the map, so they appear only while Network is showing and are hidden everywhere else.

2Home — the dashboard

The app opens here. The sidebar hides so nothing competes with it. Home is about the company — the whole pipeline, everything written lately, everything hot. For what needs you, personally, today, use Today, the neighbouring segment in the switcher; it is described in the next section and is deliberately a different screen, not a filtered copy of this one.

The strip: Hot Projops / My Projops

The strip across the top has two tabs. Hot Projops holds the ones you marked hot — this is a deliberate choice, never a score the app worked out. Scroll it with the buttons. Each one is the same card you see on the Funnel board, so it shows the customer, the funnel status, the budget, who the players are and the latest note. Click a card to open that Projop's map. Click its to drop it from the strip.

My Projops is the second tab: the deals you are personally on, rather than every deal in the database. A Projop counts as yours if you are named in its Players list, or if you are set as its Project manager.

Three ways to mark one yours, all the same switch — the next to the star on any board card, the Mine button on the Projop's own panel, or the Mine checkbox on the Edit Projop form. Marking adds you to that Projop's Players list for real, so it also shows up there and in the printed Report; un-marking takes you back off. On the My Projops tab, the dot in a card's corner removes you.

If the tab is empty and marking does nothing, OmniCRM does not know which contact is you. Find yourself on the canvas, right-click your node and choose Set as ‘Me’. Everything on this tab keys off that one setting.

Three ways to mark one hot, all the same switch: the in the corner of any Funnel board card, the Hot checkbox on the Edit Projop form (right under the name), or the ★ Mark hot button on the Projop's own panel.

The five cards

Market info

Press +, pick a Projop (hot ones are listed first), give it a headline, a link and a line on why it matters. It appears here and on that Projop's Info tab — it is one entry in two places, not a copy, so deleting it from either removes it.

The date shown is the date the news was actually published, never the date you filed it — if research couldn't find a publish date, the date is simply left blank rather than showing a misleading one.

Research hot, beside the strip, sends every hot Projop to the AI at once. See section 9.

The Actions page

Open it from Home's "Actions Due" card header, or from Today's own View all actions link — Today is its conceptual home in the switcher, and stays highlighted while you're here. A Back to Today link on this page returns you there. It lists every open follow-up across every Projop — not just this week's — grouped High/Medium/Low the same way the Home card is. Narrow it with the three filters above the list: which Projop, which responsible manager (that Projop's Project Manager), and which urgency tier. Clear filters puts everything back. Click a row to open that action's own edit form.

3Today — your own screen

Home answers how is the company doing. Today answers a narrower and more useful question: what needs me, personally, right now? It is not Home with a filter on it — the two screens are built differently on purpose. Home is a set of panels you read; Today is a list you work, and every row on it ends in a button that does the obvious next thing.

Today keys off your ‘Me’ contact. That one setting is how the app knows which work is yours. If Today says it doesn't know who you are, find yourself in the sidebar, right-click your node and choose Set as ‘Me’. Until then the personal bands stay empty rather than quietly showing you everything.

Do Now

Your follow-ups, grouped by deadline: Overdue, Due today, Due this week. Inside each group they split again into On my Projops and Not on a Projop — the second being actions logged straight onto a company or a person, which belong to nobody in particular. Mark done ticks one off without opening anything; clicking the row itself opens that action's full form.

Below those sits No next action — Projops of yours with nothing scheduled on them at all. That is usually the most useful thing on the screen. Add next action logs one straight onto that Projop.

Open actions sitting on Projops you are not on are not listed here — Today is your screen, not the company's — but they are counted in a line at the bottom, with a link to the full Actions page, so nothing is hidden from you silently.

My Opportunities

The Projops you are personally on — the same set as Home's My Projops tab, and the same rule: you are named in its Players list, or you are its Project manager. They are the same cards you see on the Pipeline board, so a Projop never looks like two different things depending on where you meet it. The only thing added here is a Needs a next action line under the ones with nothing scheduled.

People to Contact

People on your Projops who have nothing scheduled with them — no open follow-up, no future meeting. Each row says why it is there: which Projop they're on, what their role is, and when you last had any contact (or that you never have). Log contact records a call, email or meeting on the spot. Someone with a follow-up already booked is not listed — they are not the gap.

My Signals

News and market notes filed against your Projops only. Home's Market info card is the company-wide version of the same rows; this one is narrowed to what you are actually working on. Click an item to open its source.

Next Actions

Suggestions worked out from plain rules, not from AI — and each row tells you which rule fired. They look for things missing from your Projops: no client organisation set, nobody named on it, players but no decision-maker among them, nothing written in the log, or no stage. Open takes you to the right tab of that Projop to fix it.

Today never tells you a Projop has gone stale. There is no "no activity for 14 days" warning and no age shown anywhere on this screen — that was a deliberate decision. A deal stops being current when you archive it, not when a clock runs out. What Today will tell you is that something has no next action, which is a fact about the record rather than a guess about the deal.

The View all actions → link at the top right opens the full Actions page (section 8), which lists every open follow-up across every Projop, including the ones Today leaves out.

4Projops Funnel — the board

Every Projop as a card, in a column for its stage, each column carrying its stage colour. Reach it from the Home card, or the Opportunities segment in the top-left switcher — Pipeline is what it opens to by default, with an Archive tab right beside it for the ones marked no longer relevant.

A card shows the name, ref, funnel status, customer, sector, budget, up to three players and the newest note. A Projop with no stage set gets its own No stage column rather than disappearing.

Narrowing it down

Filter by sector, by customer, or by a budget range — the count beside the filters reads n of m Projops so you always know what you're looking at. Clear filters puts everything back.

Opening one

Click a card for a quick preview — the key fields, all its players with their roles, and its whole log. From there, Edit opens the full form and Open canvas takes you to its map.

Stage vs funnel status. The six stages (Lead → Won/Lost) drive the columns and the pipeline figures. The funnel status is your own wording, kept exactly as you wrote it in your funnel sheet — it is free text on purpose, so you can coin a new one without anybody changing the app.

5Projops Management — the map

The canvas, with the entity list down the left. This is where you build and arrange the network.

Putting things on the canvas

The canvas starts blank on purpose — you decide what belongs on it.

  1. In the sidebar, open Organizations by Type and expand a company.
  2. Tick the people who matter for this deal.
  3. Drag the company row onto the canvas — it brings every ticked person with it, arranged underneath.

Dragging a company that's already placed moves its whole cluster, which is how you get a group into a zone.

Linking

Press Canvas tools → Connect, then drag from one node to another. Choose what the link means (works for / knows / influences / partner of), how strong it is, the arrow direction — including both ways — and its level:

  • Organic — part of the same body. Heavier line, and these people travel with their company when you drag it.
  • Direct — a normal relationship. Solid line.
  • Light — a loose or occasional one. Dotted.

Zones

View → Zones to draw labelled regions. Drag a zone chip from the sidebar onto the canvas to place it. Anything inside travels with the zone when you move it, and a zone re-checks its own membership whenever you drag or resize it. Zone layouts are per-Projop — the same zone can hold different people on different deals.

Finding someone without disturbing anything

The search box on the canvas dims everything that doesn't match instead of hiding it, so nothing moves. Hovering a node does the same for its neighbourhood. Use View → Filter… when you actually want records off the canvas.

Analyze → Find path (on Network) shows the shortest chain of introductions between two people.

Arrange your map, then save it as a Projop. New → Projop saves what's on screen. After that, the arrangement saves itself as you work — you don't have to remember to.

6Companies and people

New → Organization or New → Contact. Click any node, or any row in the sidebar, to see its panel; Edit opens the full form.

Warmth and weight

Two ratings do most of the work on the canvas:

Analyze → Matrix (on Network) plots everyone on those two axes — the top-right corner is where your attention belongs.

Roles

A person or a company can have a default role — what they usually are — shown under their name on the canvas. A single Projop can override it without touching the profile: right-click the node → Set role (this Projop). Roles are free text with suggestions, so you can type one that doesn't exist yet. Data → Manage roles… renames, recolours or removes them across the app.

The form tabs

  • Core — name, employer, title, default role, group, warmth, weight, photo, tags.
  • Profile — contact details, location, website, LinkedIn, custom fields.
  • Info — the shelf: notes, links, documents and images that aren't tied to any deal.
  • Log — the dated record of what happened, grouped by Projop.
  • Organizations also get a Contacts tab listing their people.

Photos and logos can be pasted straight in — an image from your clipboard, or an image link. Organizations will try to fetch their own logo from their website domain.

7Inside a Projop

Open one and its panel fills the sidebar. Five tabs, each answering a different question.

The buttons above the tabs

  • ★ Mark hot — puts it on the Home strip.
  • Report — a printable one-pager: fields, players with their notes, documents, log and actions. Empty sections are left out.
  • Map — the canvas as its own printable landscape page with a legend. It prints what is on screen, so it only works while that Projop is open.
  • Research — sends this Projop to the AI (section 9).
  • Edit / Delete.

Per-Projop touches

Right-click a node while a Projop is open to give it a crown (the one that matters most here) or a status ring — green, orange, red or white — for where you stand with them on this deal. Both are per-Projop, as are node positions, zone shapes and which zones show at all.

8Actions and follow-ups

An action is a small to-do with a date. Add one on a Projop's Actions tab, or on any person or company panel.

Give an action a next step date and it becomes a follow-up. Home's Actions Due card is where they all live, grouped High (overdue), Medium (today or tomorrow) and Low (the rest of the week). Tick one off there and it drops out of the list and moves to that Projop's Log.

9Where notes live

There are four kinds, and the difference is genuinely useful once you know it.

Home's New log notes card merges all four into one stream, which is the only place in the app that shows everything written lately regardless of what it was about.

Separately, the Info tabs hold things rather than events: links, documents, images and market news.

10The AI

OmniCRM uses Google Gemini with web search — it looks things up rather than reciting what it was trained on — and it never saves anything without showing you first.

On a company or a person

Research — next to the AI summary field, right inside the Organization or Contact edit form — researches them and proposes a short business profile, plus a website and LinkedIn URL. For a person, you get a shortlist of candidate LinkedIn profiles to pick from first, so it can't quietly summarise the wrong Nikos. The same button is also on their read-only panel, under the older label AI summary/Run AI — both open the same thing.

On a Projop

Research — on the Edit Projop form's Info tab, and also on the read-only sidebar panel — searches for the project itself. It sends everything the Projop already knows — client, owner, main contractor, operator, sector, location, size, stage and the companies on the deal — which is why researching the project finds more than researching each company separately.

You get back a status summary and dated news items. Review both, tick which findings to keep, and save. On the sidebar panel the summary shows on the Brief tab under What the web says; on the Edit Projop form it shows right there on the Info tab under Research findings (with a last-checked date), kept visually separate from anything filed by hand:

  • the summary — the AI's own output — sits under its own Research findings heading;
  • each ticked news item is filed underneath, under Notes & documents alongside anything you've added yourself, with its source link, and appears in Home's Market info.

Research hot on Home does every hot Projop in one pass. That is the one place results are saved without a review step — running twenty reviews by hand defeats the point — and the dialog tells you so before you commit. Anything filed can be deleted afterwards.

Two rules it follows. A finding it can't give a real source link for is dropped rather than filed — an unverifiable headline is worse than nothing. And finding no news is a valid answer, so it doesn't pad the list.
Limits. 200 AI calls a day, resetting at midnight UTC. Edit what the AI is told in Data → AI settings… — there are three prompts, one each for organizations, contacts and Projop research.

11Import, backup and tidying up

  • Import from Excel… — organizations and contacts from a spreadsheet. Safe to run twice: an existing record is matched and updated rather than duplicated, and a blank cell never wipes something you already had.
  • Export backup — the whole database as a JSON file. Do this before anything drastic.
  • Restore backup… — merges a backup back in. It never deletes.
  • Save as image — a PNG of exactly what's on the canvas.
  • Find duplicates — spots likely duplicate contacts and merges them without breaking their links.
  • Organization types… and Manage roles… — your own vocabularies: add, rename, recolour, delete.

Database — housekeeping in bulk

The Database screen shows your three main lists — Projops, Organizations and People — as plain sortable tables. It's for the tidying-up that's painful one record at a time.

  • Sort by clicking any column heading; click it again to reverse. Empty cells always sit at the bottom, so sorting by Zone is a quick way to see who hasn't got one.
  • Filter with the box at the top — it matches anything visible in the table, and the count beside it tells you how much you're looking at.
  • Change many at once: tick the rows you want (or the box in the header to take everything currently listed), then choose a field and a value and press Apply. You're shown exactly what's about to change and on how many records before it happens.
  • Undo appears in the message afterwards and puts every record back to its own previous value. It's there for a few seconds, so if a bulk change looks wrong, click it straight away.
  • Possible duplicates only (Organizations and Projops) lists same-named records next to each other so you can compare and fix them by hand. Word order doesn't matter — "Metka Constructions" and "Constructions Metka" are shown as a pair. On People there's a Find duplicates… button instead, which does the full job: it spots them by email, phone and name and merges them without breaking any links.
  • Click any row to open that record's normal edit form — the same one you'd get anywhere else.

Bulk editing only offers the classification fields — zone, group, type, role, warmth, weight, stage, sector, funnel status, program, hot, archived. Names, emails and phone numbers aren't in the list on purpose: those are the ones where a single wrong bulk change would be the hardest to spot later.

13When something looks wrong

  • You don't see a change you expected. Hard-refresh with Ctrl+Shift+R and check the version chip beside the logo. That chip is the only reliable statement of what you're actually running.
  • Something says a table or column is missing. A database migration hasn't been run yet. The message names the file.
  • The canvas is suddenly full of everything. Refresh. Don't save the Projop first — that would bake the strays in.
  • A Projop opens scattered. It has no saved arrangement yet; drag the nodes where you want them and it remembers.
  • Home takes a moment before the map is ready. That's deliberate — the dashboard paints first and the map loads behind it. Clicking through early makes the card wait rather than showing you half a canvas.
